Hypothetical example: a contract is due in two weeks, but the account also has an unresolved support case. A generic renewal reminder would ignore the reason the customer may leave. First confirm the date and case in their source systems; then decide whether the account owner should act before any email.
Use Grok Bot to organize permitted evidence for human review. This adapts xAI’s Grok Bot post-sales guide: routine preparation followed by human approval. We checked documentation, not a live Grok Bot-to-Brevo connection. The starter guide shows a read-only check and dated-export fallback.
Prove the signal before choosing a workflow
Compare one account across its commerce, product-use, support and billing sources. Note the last order or use, open cases, contract state, renewal date, channel permission and timestamps. Check what reached Brevo. A stale integration can make an active customer look dormant.
The names last_order_at, usage_window, support_case_status, renewal_at and marketing_permission here are proposed mapped fields, not native Brevo schema. Record the real source and destination for each. If a value is absent from an export, label it unknown until the source confirms it. Unknown is different from a confirmed no order, no use, no case or no renewal.
| Workflow | Trigger and authoritative data | Next step | Stop condition | Metric |
|---|---|---|---|---|
| Reactivation | A verified purchase or product-use gap beyond the relevant expected interval, from the store or product system | Draft a reason-specific return path for an eligible contact | Stop on renewed activity, suppression, bad contact data or an unverified gap | Returning purchasers or active accounts among eligible contacts, versus an unsent group |
| Churn prevention | Confirmed usage decline or unresolved support signal from the product or support system | Route the evidence to the account or support owner; draft a response only after review | Stop on missing data, case escalation, resolution or owner decision against outreach | Resolved issues and retained accounts among reviewed eligible accounts |
| Renewal | An approaching full contract due date and active status from billing or the contract system | Prepare a factual reminder for owner review, with terms from the source record | Stop on renewal, cancellation, dispute, invalid date or changed terms | On-time renewals among eligible contracts |
Choose the measurement window before activation: for example, 30 days after eligibility for reactivation and churn review, and through the contract due date for renewals. Count eligible accounts or contracts, not all contacts, in each denominator. At the report date, disclose how many source records had complete activity, case, contract and permission data. Exclude unknowns and show their count; incomplete coverage can change the apparent rate. An unsent comparison is observational unless assignment was random and the groups are comparable. For a randomized comparison, retain the original assigned denominators and show missing outcomes by arm; incomplete evidence can leave the result inconclusive.
Let the source change the next step
For reactivation, use the customer’s own purchase or use pattern, not a fixed silence window applied to everyone. A missing event in Brevo may be a sync failure. Confirm the gap in the source, then check marketing permission and deliverability before proposing a message. The win-back guide covers purchase-lapse thresholds and list hygiene in detail. Brevo documents a winback automation, but the entry and purchase exit must be tested with your own data.
For churn prevention, a support case is a reason to involve its owner, not a trigger for a bot to send an apology. Use the case status, severity and permitted account context to draft one question or remedy for review. Never invent a resolution or expose support details in a broad campaign. If the case is disputed or escalated, pause customer-facing automation. The retention guide covers the wider measurement problem.
For renewals, billing or the contract system owns the full date, price and terms. Brevo’s Anniversary trigger ignores the year and can repeat annually, so it is unsuitable for arbitrary contract renewals. Use a verified due-date cohort or custom due event checked against the full date and current status; confirm that your account supports the selected entry route. Suppress renewed, cancelled or disputed accounts. Whether a reminder is a service notice or marketing depends on its content, channel and permission. The owner decides before sending.
Copy a bounded planning prompt
Give the bot a dated, minimal export of the three source signals, Brevo state and permission evidence. Remove fields it does not need. Paste this prompt:
Using only the supplied store or product, support, billing and Brevo evidence, propose exactly three workflows: reactivation, churn prevention and renewal. For each, show the trigger, authoritative system, proposed mapped fields, one draft next step, stop conditions, communication purpose and permission check, and an outcome metric with a denominator and observation window. Mark missing values unknown; distinguish an absent event from a source-confirmed non-event. Cite each source record and its date. Flag disputed cases and terms for an owner. Do not invent use, case resolution, contract terms, consent or a renewal. Propose one clearly synthetic test case per workflow. Draft here only: do not create or activate automations, send or schedule messages, change contacts, unblock or resubscribe anyone.
Check the plan against the source records. In Brevo > Automations > Workflows > Create, configure only an approved trigger, delay or condition, and action. Test a renewed account, an open support case and an unsubscribed contact. Recheck exits, then activate after owner approval. Brevo lists available triggers and rules; verify the options in your account or a documented API route. An MCP connection alone does not guarantee automation creation.
If a needed field is absent, repair the verified data path first. Tajo may fit a demonstrated sync gap after mapping and permissions review; this article does not assume an active integration or a particular Tajo feature. The Shopify-to-Brevo guide starts with one-record checks. For an earlier purchase journey, use the ecommerce workflow guide. Keep the first live workflow small enough to audit.
Frequently Asked Questions
Can Grok Bot prevent churn through Brevo automatically?
Grok Bot can propose a bounded plan from permitted evidence. Verify the source signals, Brevo trigger and exit rules, message purpose and account permissions before implementing an approved automation in Brevo. This is not a tested live Grok Bot-to-Brevo workflow or a claim that MCP creates every automation.
Is a missing renewal date evidence that an account has expired?
No. A missing mapped field is unknown until the billing or contract system confirms the date and status. Do not start a renewal or reactivation message from that absence alone.
Can an inactive contact be resubscribed for a reactivation email?
No. Check the source permission and Brevo suppression state for the channel and purpose. Unsubscribed or blocked contacts stay excluded; a bot must not resubscribe or unblock them.
